What information do we collect about you?

We generally collect and store details such as your name, phone number, email address, company worked for, gender and job title when you ask us to prepare a quote for you or when you request information on our services. We collect this information when you contact us through our website, when you register with us to use our client portal, or request a quote by email or phone, or place an order for our services.

If applicable, your credit card information will be stored with our third party online secure payment processing provider: SagePay (www.sagepay.co.uk). We take the card details verbally by phone and enter the details directly into an online interface. We do not record the card details. We also use PayPal, where no card details are passed to us at all.

We may also collect and store your data if we have met you at a trade show, an exhibition or a networking event, or if we believe there is a legitimate interest for you to know about our services. In order to improve our service to you, we also collect and store communications between you and us that are relevant to the services being provided to you. We also collect and store information you voluntarily submit when completing customer surveys or providing other forms of feedback.

How will we use the information about you?

We collect information about you to process your order, manage your account and to contact you about other services we offer that we think may be of interest to you. This information is stored securely in our customer and accounting database. You will be given the option to select whether and how you want to receive marketing material from us, and you can update these preferences at any time.

Information will be shared with other staff at The Translation People in order to service your Account and provide the best service to you. We may use information collected from your visit to our website to personalise your repeat visits to our website. We will not share your personal information with any third party, other than for the purpose of processing translatable content that you have assigned to us. This does not include trusted third parties who we may use for maintaining our website and sending marketing emails, such as newsletters and special offers.

Any subcontractor that we share your translatable content or data with has contractually agreed to keep your information confidential and secure. We also store your translated content (along with the original content) in bilingual databases called Translation Memories. These databases allow better consistency to be achieved in the translation process and enable us to offer you lower prices as we can reuse previous translations.

How long will we store your data?

We will store your personal data for 6 years from the last project completed for you, unless otherwise instructed. We will also store the files and communication relating to completed translation projects for 6 years. If we have not completed any work for you and you have simply requested information, we will keep details of our communications for 6 years, unless otherwise instructed.

We will store translated content in translation memories specific to your company for 10 years, unless otherwise instructed.

To adhere to HM Revenue and Customs (HMRC) regulations, we will store financial transaction details for 6 years from the end of the last company financial year that they relate to (our year end falls on 31st December).

Marketing

We may send you information about our products and services if we feel that there is a legitimate interest for you to know about our services.

You have a right at any time to stop us from contacting you for marketing purposes. We may share your information with trusted, third party mail services in order to keep you informed about our company.

The Translation People will not share your information for marketing purposes with any third party, except for the purpose described above.

Access to your information and correction

You have the right to request a copy of the information that we hold about you. We may make a small charge for this service. We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

In order to translate content into certain languages, it may be necessary to send the translatable content you send us (excluding your personal data, unless this is contained in the translatable data) to subcontractors in countries outside the EU, where privacy laws may not be as comprehensive as those in your country of citizenship. By providing your content to us, you agree to this transfer, storing or processing. We take all reasonable steps to ensure this data is transferred safely and securely, and only transfer data where this is necessary for completion of the translation project.
