Who we are
This privacy policy applies to all companies in The Translation People Group, including;

In carrying out our business we process the personal data of translators and interpreters held on our database. We respect your privacy and take appropriate technical measures to keep your data secure. Your personal data is not processed outside the countries of the EEA or other countries deemed to have inadequate protections of personal data.
What information do we collect about you?
We collect and store information you voluntarily submit when you first apply to join our database (either via email or through our online recruitment form).
We collect and store details such as your name, company name, contact phone number, email address, education, work experience, and specialisms. We will also ask for your full postal address (as this appears on your purchase orders) and may ask for a copy of your CV if this has not already been provided. We may also hold references and copies of your education certificates if they have been provided.
Our Translator and Interpreter Agreements include a section where you can list all of your services, agreed rates and specialist sectors. This information is used to complete your individual profile on our Enterprise Resource Planning system. This data on your individual profile will have been collected directly from you. In some cases it may have been taken from online industry directories or your own professional website where you have provided the information.
We also store communications between you and us that are relevant to the services you provide, such as rate discussions.
Financial data that you provide is collected and stored in order to process your invoices.
All data you provide will be stored in our data centre on our secure data server, which is only accessible from within our network and has no external IP.
How will we use the information about you?
We require your personal data in order to perform the contracts between us and in the legitimate interests of carrying out our business.
We store information in order to identify if your services are a good match for our present recruitment or project needs. Information will be shared with other staff at The Translation People in order to ensure that you are approached with the most suitable projects.
We endeavour to keep such information accurate and up to date and may contact you from time to time in order to achieve this.
How long will we store your data?
We will store your personal data for 6 years from the last project you completed for us, unless otherwise instructed. We will also store the files and communication relating to completed translation projects for 6 years.
If you have applied to join our team (via email or through our online application form) or enter our registration process, we will store your personal data for 3 years, unless otherwise instructed.
To adhere to HM Revenue and Customs (HMRC) regulations, we will store financial transaction details for 6 years from the end of the last company financial year that they relate to (our year end falls on 31st December).
Marketing
Our supplier newsletter goes to all translators, interpreters and business partners who are registered suppliers with The Translation People. This includes company news and information which we feel may be of interest to you, but we will only send you this if you have consented to it. Even if you have consented to receive such communications, you can opt out at any time. If you have consented to receive our newsletter, we may share your information with trusted, third party mail services in order to keep you informed about our company. The Translation People will not share your information for marketing purposes with any third party, except for the purpose described above.

Access to your information and correction
You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email [email protected] or write to us at the address in the ‘contact us’ section below. We may make a small charge for this service. We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
Security measures
We are committed to ensuring that your information is secure. In order to prevent unauthorized access or disclosure, we have put in place suitable physical, electronic, and managerial procedures to safeguard and secure the information we collect and store.
